Why WhatsApp beats an app for valet guests

Guest-facing valet apps keep getting built, and they keep struggling for the same reason. A guest uses your valet stand once, maybe twice a year. The app asks them to install eighty megabytes, verify a phone number and choose a password for that.

The maths does not work, and no amount of onboarding design fixes it. The problem is not the app, it is the relationship length.

What actually happens at the porch

Picture a guest handing over keys at a wedding. They are holding a gift, someone is calling their name, and the driver has ten seconds of their attention. If the instruction at that moment is to scan a code and install something, most people say they will do it later, and later never arrives.

The ones who do install it are on the venue’s Wi-Fi or their own data, in a hurry, with an app store account they may not remember the password for. Every one of those steps loses people. By the time the car is needed, the guest is back at the desk doing it the old way, and the venue has paid for a system that mostly does not get used.

Why WhatsApp is a different proposition

WhatsApp is already on the phone, already logged in, and already the place where people send messages they expect answers to. Scanning a tag that opens a chat asks for no installation and no account.

Where an app genuinely belongs

None of this means apps are the wrong answer everywhere. The people working the stand are the opposite case: they use the system every shift, they need the camera and offline behaviour, and training them is part of the job anyway. A driver app makes complete sense.

The same goes for a regular who parks at the same office tower daily. Frequency changes the calculation. The mistake is applying the frequent-user answer to the once-a-year guest.

The honest trade-offs

A chat-based flow is not free of limits. You are working inside someone else’s messaging rules, the interface is a conversation rather than a screen you control, and a guest without WhatsApp needs the desk to work normally. Rich interactions, a map of the lot or a live position for the car, are harder to express in a chat than in an app.

For the job a guest actually needs done, which is asking for a car and finding out when it will arrive, those limits rarely bite. For anything richer, an app is the right tool, and it is worth being clear-eyed about which of the two you are designing for.

A simple test

Before choosing anything, ask what a guest has to do between handing over their keys and getting their car back, and count the steps that require them to learn something new. If the answer is more than zero, expect the desk to keep doing the work.
